Upgrading Your Plan

When to Upgrade

Signs you need more:

  • Hit your 5-project limit (Free → Professional)
  • Running out of monthly AI credits
  • Need watermark-free exports for client presentations
  • Want video generation features
  • Team needs collaboration features

How to Upgrade

  1. Go to Account Settings → Billing → Current Plan
  2. Click "Upgrade"
  3. Choose new plan: Professional, Studio, or Agency
  4. Choose billing cycle: Monthly or Annual (save 20%)
  5. Review pricing: See prorated charge for immediate upgrade
  6. Confirm payment method
  7. Click "Upgrade Now"

Takes effect immediately:

  • New features unlock
  • Credit allocation updates
  • Project limit removed
  • Billing adjusts for remainder of period

Prorated Billing

How it works:

You're on Professional ($49/mo), 15 days into billing cycle
You upgrade to Studio ($149/mo)

Calculation:
- Professional unused time: $24.50 credit (15 days remaining)
- Studio prorated cost: $74.50 (15 days)
- Immediate charge: $50 ($74.50 - $24.50)

Next billing: Full $149 on your new billing date

Always fair: You never pay twice for the same period


Downgrading Your Plan

When to Downgrade

Common reasons:

  • Project volume decreased
  • Not using all AI credits
  • Budget changes
  • Trying lower tier to see if sufficient

How to Downgrade

  1. Go to Account Settings → Billing → Current Plan
  2. Click "Change Plan"
  3. Choose lower plan: Studio → Professional, or Professional → Free
  4. Review downgrade details: What you'll lose access to
  5. Choose when: End of current period (recommended) or Immediately
  6. Confirm downgrade

Recommended: Downgrade at end of period

  • Keep current features until billing cycle ends
  • Use remaining credits
  • No immediate changes

Immediate downgrade:

  • Lose features now
  • No refund for unused time
  • Unused credits remain (but can't generate if below new tier)

What Happens When You Downgrade

Access retained:

  • ✅ All existing projects (even if over new limit)
  • ✅ All boards and materials
  • ✅ All past visualizations
  • ✅ Team members remain
  • ✅ Purchased credit packs (can still use)

Access lost:

  • ❌ Can't create projects over new limit
  • ❌ Monthly credit allocation reduced
  • ❌ Video generation (if downgrading to Free)
  • ❌ Watermark-free exports (if downgrading to Free)
  • ❌ Advanced features (branding, etc.)

Canceling Your Subscription

Before You Cancel

Consider:

  • Downgrading to Free tier instead (keeps your data, no cost)
  • Pausing unused projects (archive them)
  • Exporting important boards as PDFs
  • Reviewing if credits were the issue (buy packs instead)

How to Cancel

  1. Go to Account Settings → Billing → Current Plan
  2. Click "Cancel Subscription"
  3. Select cancellation date:
    • End of current period (recommended—keep access until paid period ends)
    • Immediately (lose access now, no refund)
  4. (Optional) Tell us why: Helps us improve
  5. Confirm cancellation

What happens:

  • If "end of period": Keep access until billing date, then downgrade to Free
  • If "immediately": Downgrade to Free now, no refund for unused time

What You Keep (Free Tier)

After cancellation, you're on Free tier:

  • ✅ 5 projects (archive extras)
  • ✅ All your boards and materials (view only if over project limit)
  • ✅ All past visualizations
  • ✅ 100 AI chat messages/day
  • ✅ Material search

You lose:

  • Monthly AI credits (but can buy packs)
  • Video generation
  • Watermark-free exports
  • Unlimited projects

Billing Cycle Changes

Monthly to Annual

Why switch:

  • Save 20% (nearly 2.5 months free)
  • Avoid monthly charge notifications
  • Lock in current pricing for full year

How:

  1. Account Settings → Billing → Change to Annual
  2. Pay prorated amount for remainder of current month
  3. Billed annually going forward

Example:

Professional Monthly: $49/mo
Professional Annual: $470/yr ($39/mo effective)
Savings: $118/year

Annual to Monthly

Why switch:

  • Need month-to-month flexibility
  • Planning to cancel soon
  • Cash flow preference

How:

  1. Account Settings → Billing → Change to Monthly
  2. Change takes effect at end of current annual period
  3. No immediate changes or charges

Note: Can't get refund for unused annual time


Billing Information

Updating Payment Method

Add or change credit card:

  1. Account Settings → Billing → Payment Method
  2. Click "Update Card"
  3. Enter new card details
  4. Save

Takes effect: Next billing cycle

Multiple cards: Set default for automatic billing

Updating Billing Address

For invoices and tax purposes:

  1. Account Settings → Billing → Billing Address
  2. Update address, city, state, ZIP, country
  3. Add tax ID if applicable (for VAT, etc.)
  4. Save

Why it matters: Affects tax calculations and invoice generation

Viewing Invoices

Access past invoices:

  1. Account Settings → Billing → Invoices
  2. View list of all past charges
  3. Download PDFs for accounting

Invoices include:

  • Date and invoice number
  • Plan and billing cycle
  • Amount charged
  • Payment method
  • Your billing address

Credits & Add-Ons

Buying Credit Packs

When monthly allocation isn't enough:

  1. Account Settings → Billing → Buy Credits
  2. Choose pack:
    • Small: 50 credits for $15
    • Medium: 100 credits for $25
    • Large: 350 credits + 15% bonus for $75
  3. Pay with card on file or new card
  4. Credits added instantly

Benefits:

  • Never expire
  • Stack with monthly allocation
  • Available on all plans (even Free)

Credit Usage History

Track spending:

  1. Account Settings → Billing → Credit Usage
  2. View:
    • Date/time of generation
    • Credits consumed
    • Project and type (image/video)
    • Remaining balance after

Use for:

  • Understanding consumption patterns
  • Planning monthly needs
  • Justifying upgrade/downgrade

Team Billing (Studio & Agency)

Managing Team Accounts

Account owner manages billing:

  • Add/remove team members (no per-seat charge)
  • View team credit usage
  • Set project access
  • Transfer account ownership

Team members can't:

  • View billing details
  • Change subscription
  • Buy credits (unless admin)

Transferring Account Ownership

When needed (owner leaving company, etc.):

  1. Account Settings → Team → Transfer Ownership
  2. Choose new owner (must be Admin on account)
  3. Confirm transfer
  4. New owner takes over billing and account management

Failed Payments

What Happens

If payment fails:

  1. Day 1: Email notification + retry in 3 days
  2. Day 4: Second retry + email
  3. Day 7: Third retry + email warning
  4. Day 10: Account downgraded to Free tier

During grace period:

  • ✅ Full access continues
  • ⚠️ Update payment method to avoid downgrade

Fixing Failed Payments

Update card immediately:

  1. Account Settings → Billing → Payment Method
  2. Update to valid card
  3. System retries automatically
  4. Receive confirmation email when successful

Refund Policy

What's Refundable

Within 30 days of initial purchase:

  • ✅ Full refund if dissatisfied
  • ✅ No questions asked
  • ✅ Contact support to request

Not refundable:

  • ❌ After 30 days
  • ❌ Unused credits (monthly allocation or packs)
  • ❌ Partial months (if you downgrade mid-cycle)
  • ❌ Renewals of existing subscriptions

Troubleshooting

"Can't upgrade—payment failed"

Check:

  • Card has sufficient funds
  • Card not expired
  • Billing address matches card
  • Card allows international charges (if outside US)

Try:

  • Different card
  • Contact bank to authorize charge
  • PayPal as alternative (if available)

"Downgraded but still being charged"

Likely:

  • Downgrade scheduled for end of period (not immediate)
  • Check: Billing → Current Plan → "Downgrade pending on [date]"

Solution: Wait until scheduled date, or contact support if billing date passed

"Lost access to projects after downgrade"

Expected behavior:

  • Free tier = 5 projects max
  • Can view projects 6+ but can't edit or create more

Solution:

  • Archive unused projects
  • Or upgrade to Professional (unlimited projects)
